Event Planning

Social Capital Solutions, Inc. (SCS) provides small and large event planning services.  Consultant rate will be determined by the type of service being requested and the level of experience required; individual consultant rates or event planning team rates may apply.

Note: SCS provides event planning and coordination only; supplies, materials, food, non-local travel & accommodations will cost extra; rate TBD.  Extra financial resources may be needed for an event that takes place in less than 3 months.

Small Events

Small events include seminars, workshops, parties, or networking events with 100 attendees or less.  Labor hours may vary based on service needs, but typically require 5 to 20 hours of planning and coordinating.    Services may include, but are not limited to:

  • 1- to 2-hour free initial consultation to understand the significance of the event, your goals and objectives, target audience, and other needs
  • Budgeting for the event
  • Creating planning spreadsheets using Microsoft Excel
  • Coordinating weekly communication with you and your staff
  • Delegating tasks and recruiting additional assistance
  • Setting-up registration process and procedures
  • Working with you to contact key speakers; help you draft correspondents
  • Locating and negotiating facility rental(s) for event, including sound system, chairs, tables, etc.
  • Coordinating travel and accommodations for guest speakers and/or attendees
  • Coordinating on-site check-in & registration
  • Coordinating catering services
  • Coordinating event set-up and clean-up
  • Following up with deposits and payments to vendors
  • Preparing training materials and packets
  • Referrals to other professional services

Large Events

Large events are conferences, fundraisers, parties or networking events with over 100 attendees.  Services may include, but are not limited to:

  • 1 to 2-hour free initial consultation to understand the significance of the event, your goals and objectives, target audience, and other needs
  • Budgeting for the event
  • Creating planning spreadsheets using Microsoft Excel
  • Coordinating weekly communication with you and your staff
  • Delegating tasks and recruiting additional assistance
  • Setting-up registration process and procedure
  • Working with you to contact key speakers; help you draft correspondents
  • Coordinating communication with guest speakers and attendees
  • Locating and negotiating facility rental(s) for event, including sound system, chairs, tables, etc.
  • Coordinating travel and accommodations for guest speakers and/or attendees
  • Coordinating transportation needs
  • Coordinating on-site check-in & registration
  • Coordinating catering services
  • Coordinating event set-up and clean-up
  • Following up with deposits and payments to vendors
  • Referrals to other professional services
  • Approximately 200 hours of labor, spanning across 3 to 6 months, for an event with 100-300 attendees; add 100 hours of labor for every additional 100 attendees
